We have chosen the best of the best Day-Of Wedding Coordinators to guarantee a smooth planning process for the All-Inclusive Package. Moreover, they ensure your wedding day unfolds flawlessly, allowing you to enjoy every moment without stress.
Enjoy a customizable buffet style dinner with an on-site grilling option and a plethora of A La Carte Menu Items to choose from. The Diamond Package is available seven (7) days a week.
Additionally, tastings are offered at “Two-Step Tuesday.”
Choose from two (2) Chef inspired menu options and Savor “A Taste of Italy Pasta Buffet”, or a “Taco/Fajita Bar Buffet”. The Onyx Package is available Monday, Tuesday, Wednesday, and Thursday.
Both packages include a beverage station, full-service staff, disposable place settings, and linens.
Choose from various options: No Bar, Wine & Beer, Wine & Beer plus two signature cocktails, or a Full Bar. Bar service, delivery, and setup are all included. Additionally, this package includes everything except the alcohol. You can either bring your own or select our alternative Bar & Alcohol Provider.
During your tasting, you can select a custom couple’s cutting cake and sheet cake. Alternatively, you may apply your allowance toward a wide variety of other dessert options.

A professional DJ/MC will provide state-of-the-art equipment and dance floor lighting, creating a personalized atmosphere for your ceremony, cocktail hour, dinner, and dancing.

Hearth House Venue handles all vendor service agreements and makes payments to vendors on your behalf, ensuring a seamless experience.
All prices include sales tax, service fees and catering team gratuities. (AIP Planner, DJ, and Event Manager Gratuities are not included.)
CATERER TASTINGS:
1) Does my Package include a Tasting?
All Catering Tastings included in the All-Inclusive Diamond Package take place during Two Step Tuesdays which is held at Hearth House Venue. The Caterer will showcase their signature Menus, as well as other Featured Menus. Your Two Step Tuesday Invite will include details on which menus are being highlighted. Private Tastings are not included in the All-Inclusive Package, however, if requested, the Caterer will work hard to accommodate you. Private Tasting Per Person Fees will apply. Tastings for the Onyx Package are not included in your Package however; you can always have a 1:1 tasting with the Caterer. This tasting would be your responsibility.
2) Is there a minimum guest count for the All-Inclusive Package?
Yes, the minimum guest count for the All-Inclusive Package is 50 people. Your final guest count will be received at the final 30-day walkthrough and your contract will be adjusted accordingly. Should we fall under the minimum guest count, no worries! We will inform the Caterer to provide additional to-go containers for leftover food.
3) What happens if my Guest Count changes after I sign the All-Inclusive Contract?
Final guest count is not locked in until we’ve had our Final Walkthrough, which occurs 30-45 days prior to the event. For example, at the final planning meeting, if your final RSVP is 89 guests and we originally prepared a contract for 100, we would remove 11 guests from the contract and your final payment due will be updated accordingly.
4) Can my guest count increase or decrease after the Final Walkthrough?
Your final guest count can increase but not decrease after the final walkthrough.
5) Is food discounted for kids?
Children 5 and under are not charged by catering and bar services. If they need a seat at the table, they will need to be included in our linen count. Our support team will help you with this separation at your final walkthrough.
6) Can the Caterer accommodate a food sensitive menu?
Yes! You will work directly with the Caterer on your menu at Two Step Tuesday so make sure to mention them early on so the caterer can accommodate you. There could be additional fees depending on the specific request and for how many guests.
7) Who sets up Tables and Chairs?
Your wedding planner and the Catering Team will be responsible for setting Ceremony Chairs, Reception Tables, and Reception Chairs. This setup is based off the Layout you and your Planner put together!
8) Who sets up Tables and Chairs?
One of the best things about having Buffalo Gals in our package, is that they have an endless amount of possibilities they can offer outside for a separate cost. Talk directly with our Catering Team about more options.
9.) Can I add an Onsite Griller if it is not included in my chosen menu?
An onsite griller can be added for an additional $100 paid directly to the caterer. Griller only available to add May – October.
BAR DETAILS:
1) When will I plan my Bar Menu?
The bar service included in the AIP will reach out to you on the front end of planning to have a welcome call and chat about plans for your event. They will share a cocktail list with you to choose from to make planning your bar menu an easy experience.
2) Is Alcohol Included in the Package?
No, Alcohol is not included in the Package. Hearth House Venue does not obtain a Liquor License however; this saves you money! Work directly with our Bar Service Team who can hook you up with their recommended liquor provider to place an order, or you can bring in your own!
3) What Bar Packages do you offer?
Let Hearth House Venue take care of the contracting of your Bartenders, Cups, Ice, Garnishes, Soft Drink and Mixers! Inquire with your Venue Support team for more information on pricing and inclusions.
4) Are Drinks discounted for kids?
For Bar Service, Children 5 and older are factored into the per person rate, as Children do tend to drink Soda and Shirley Temples! The number of kids in your guest count should be considered while navigating your liquor order.
5) How many hours of Bar Service is included with this Package?
The Bar Service is onsite for 8 Hours; 2 hours for setup, 5 hours for serving and 1 hour for cleanup. The maximum number of hours the Bar can be open is 5 Hours.
6) Can we elect to have a cash bar?
We are not able to offer a cash bar option onsite. All events and wedding that choose to have a bar, it is required that the bar is fully hosted by the client.
7) Can we have kegs?
Yes!! Talk about these logistics directly with your bar vendor.
8) Are their mocktail options?
Our bar service vendor does have mocktail options! These are details they are happy to chat with you about during your planning calls with them.
FLORALS:
1) Am I able to Customize my Floral Decor?
Included in the AIP is a $1,000 credit towards Floral. You have the option to select Fresh Floral or Silk Floral. You are not limited in what type of florals and other decor you choose from the Florist, and they will guide you to help you stay within the budget you are comfortable with. Any amount exceeding the $1000 credit would be paid directly to the vendor.
2) Who sets up the Floral?
The Florist does the floral set up that is discussed during your planning meetings. For other personal decor, you will chat with your planner about.
3) Is this credit removable?
Yes! You are welcome to remove the full $1000 credit and can contract with your own florist of choice or DIY floral.
4) Can I split the Floral Credit between Fresh Floral and Silk Floral?
No, as we do have minimums for the Floral Credit currently. However, we can give you recommendations for other Florists and you can reach out to them to place a separate order.
5) Is the florist able to provide real candles?
This is up to each florist and expense that would be added to your floral estimate. The In-House Centerpiece Vessels that Hearth House offers are White LED Candles. Real Flame Candles are not permitted in our Vessels.
6) Is this credit removable?
Yes! You can remove this credit during your AIP meeting with our support team. In place of the credit, you are welcome to contract with your florist of choice or DIY floral.
LINENS:
1) Are linens/table-runners included?
Floor length table linens and linen napkins are included in the All-Inclusive Package, with your choice of select color options for each. Runners are not included but can be rented by the linen provider where you would remit payment directly to the vendor.
2) Are the napkins pre-folded?
The simple and elegant “tie the knot” fold is included in the package. If you would like a different fold, you will make these plans with the linen provider. Folds other than the knot fold are subject to additional fees and at the discretion of the linen vendor.
3) When do I choose the linen colors?
Two Step Tuesday is a great time to lock in your selections with our linen provider. If you prefer to meet with her directly, she welcomes people to scheduled private consultations with her at no extra cost.
FLORAL QUESTIONS:
1) Can I split the Floral Credit between Fresh Floral and Silk Floral?
No, as we do have minimums for the Floral Credit currently. However, we can give you recommendations for other Florists and you can reach out to them to place a separate order.
2) Does the florist cover/provide items such as candles?
The In-House Centerpiece Vessels that Hearth House offers are White LED Candles. Real Flame Candles are not permitted in our Vessels.
3) Can I have Open Flame?
Yes, you can have Open Flamed Candles! Please refer to our Decor Policy for more details on our requirements.
4) Can I do my own Decor?
Tricky Question. We like to say, your day, your way, but Florals and Decor are huge jobs and the standard set up is completed by the AIP FLORAL TEAM. Therefore, if you bring your own florals, who will set them up? It often falls hard on the coordinator, which may be an additional cost to you. Speak with your AIP Coordinator to find out how much additional she will be charge if she is setting up non-AIP floral and decor for you.
UPGRADES IN AIP PACKAGE:
1) In the Package, it mentioned high quality disposables. Is there the option of non-disposable tableware such as China Rental?
Our goal in the package is to provide all that you need to have a great wedding; at the best price we can share with you. For our couples that prefer to have china rental for dinner, we have a great package with Colorado Party Rentals. You can ask for more details on pricing inclusions from your wedding planner or the venue support team.
2) Can I upgrade my catering package?
If you sign your AIP with an option other than the Diamond Package, we are happy to help you navigate upgrading. The Diamond Package is the highest tier that offer in the AIP.
PAYMENT POLICY:
How do the Payments work?
Payments via Cash, Check or Money Order are preferred however we can also accept payment by credit card as well but the Check/Cash Discount of will be forfeited. All published and most shared pricing is based on a cash/check payment method. If you prefer to pay by card, please talk about this with your support team.
DESSERT QUESTIONS:
1.) I have a family member that really wants to do our cake, is this allowed?
Yes. You can add to the desserts by supplying your own or we can remove the $500 Pastry Credit altogether.
2.) Can I pull the Dessert out of the All-Inclusive Package and bring my own?
Yes, if the dessert does not require controlled temperature like Custard, Ice Cream, or Bananas Foster, baked goods are fine. Your AIP Package will decrease by $500 if you remove the Dessert from the Package.
3.) What about a Tasting?
At Two Step Tuesday, you’ll visit with the Pastry Team and sample a wide variety of dessert options. An in-person Tasting with the Pastry Team is available as well, should you need additional assistance.
4.) Can I provide desserts in addition to the credit?
Yes! If the dessert does not require controlled temperature like Custard, Ice Cream, or Bananas Foster, baked goods are fine.
CENTERPIECE OPTIONS:
1) Are we required to use your In-House Centerpieces, or can we provide our own?
The In-House AIP Centerpieces are included but you don’t have to use them if you want to supply your own. However, if you supply them or other decor, it needs to be delivered to the Venue ready to set on the tables as your Event Coordinator does not typically do decor set up outside of the AIP supplied items. Make a point to discuss this to see if there will be additional charges from your coordinator for supplying services outside of the scope of the AIP Coordinator responsibilities.
2.) Can I have Real Flame?
Yes, you can have Real Flamed Candles! The flame itself must be enclosed by a glass vessel and the flame should be at least 2” below the opening. Please refer to our Decor Policy for more details on our requirements.
3.) Can I do my own Decor?
You are welcome to provide your own decor. We always encourage you to leave it up to your vendor team to have the planning experience and day of be as stress free as possible. If you do choose to provide any DIY decor, make sure any pre-assembly or arranging needs are done prior to being delivered to your coordinator for setup. Make sure to talk in detail with your coordinator about these details.
EARLY DECOR DROP OFF:
1) When can I drop off my venue decor?
Coordinate with your wedding planner to talk about leaving personal decor at the venue when you come to do your wedding rehearsal. This offering is exclusive to our AIP couples.
DJ QUESTIONS:
1) Do we have to use your DJ in the All-Inclusive Package, or can we hire a different one and get credit?
We have never removed the DJ from the All-Inclusive Package for a credit back, but you can talk to our AIP Team about it when you meet. It’s not something that is an automatic approval as the DJ makes or breaks the event. It’s our way of ensuring you and your guests will have a positive experience! Plus, you’ll love our DJ!
2) Can I have a Band instead of a DJ?
The DJ is not a service we usually take out of the AIP because it is a critical component to a perfect day at Hearth House. If the Band is taking over all DJ duties, like making announcements, introductions, toasts, following the timeline, etc. then we can work something out to drop the DJ from the AIP Service Agreement. It would be an exception our AIP Team would make for you! But check with your Band first, as most do not MC.
3) Does the DJ work with us to come up with a playlist/introduction script etc. or is that all standardized?
Yes, you will work closely with the DJ to select your music, script, announcements, and introductions. It is very personalized, and the planning process begins about 60 days before your big day.
BOOKING THE AIP:
1) When Should I Book the AIP?
You don’t have to book the AIP when you book the venue. It is a two-step booking process; Secure your date by clicking on BOOK THE VENUE on the website, then take a breather and you’ll chat with our AIP Team again when you are ready to start planning with your vendor team.
2) In person or virtual?
We can do either! The shared link is set for in person meeting slots. If it is easier for you to meet with us virtually to review AIP details, email us and we will do our best to accommodate your schedule.
ADDITIONAL EXPENSES:
1) Are there any other costs we should be aware of?
The AIP Package does not include an Officiant, Photographer, Hair/Makeup, or Liquor. Everyone has their own specific style. We do have a list of Family Favorite Vendors that will help guide you, but these are costs you’ll need to add to your budget, if applicable. Also plan for costs associated with these personal items: Attire, Invitations, Travel and Hotel Accommodations, Rehearsal Brunch or Lunch, Gifts, and Vendor Gratuities.
CEREMONY QUESTIONS:
1) What’s a good Ceremony Start Time?
4:00pm is always our go-to for Ceremony start times. This allows enough time prior to the Ceremony to capture Private Vows, and wedding party group photos all while leaving your reception timeline open and stress free. Be sure to talk with your Coordinator about these details as well, as they have all the pro-tips for a beautiful timeline.
2) Can I have my Ceremony outside in the Winter, even if it’s snowing?
Of course! This is your day and we’re here to bring your wedding day vision to life! Pro Tip: Be sure to include this detail on your wedding invite (rain or shine!), that way guests dress appropriately.
3) Does the Water Fountain outside run even during the Winter?
Yes! We have an internal heater in the unit to ensure it functions in the colder months.
WEDDING COORDINATOR DUTIES:
1) What is the Wedding Planner Responsible for?
First, your Coordinator will communicate with you on the best day/time to schedule your planning kick off call. This can be done either by phone or Zoom. From there, they will guide
you on when to hear from the AIP Vendors and if you’re needing a helping hand hiring other vendors, they have a list of preferred vendors ready to get started on your special day. A master timeline is prepared during the upcoming months of your wedding day, as well as a floor plan for the ceremony and reception. The rehearsal will be scheduled at the Final Walkthrough and your Coordinator is responsible for attending this and running the show with your Officiant. Your Coordinator is also responsible for setting up all of your decor, communicating with Vendors 30 days from the wedding day to finalize guest count details, as well as the first to arrive on wedding day and the last to leave. The logistics of setting up the decor you’re providing, will evolve during the planning process. Along the way, if the decor setup is very involved and time consuming, your planner will need additional assistance, provided by you. This ensures a smooth setup and clean up and that all of your special items are put back in their original setting.
2) Is the Coordinator included in the Package?
Yes! Your Coordinator will be there every step of the way during the planning process. They are responsible for preparing your timeline and floor plans for the ceremony and reception. Your Coordinator is the first to arrive on the wedding day and the last to depart with our Property Manager. They will also attend your 30-Day Final Walkthrough and Rehearsal.
3) Can I request a specific Coordinator?
Yes! We are happy to take any requests into consideration while we are contacting our planners. We will do our best to accommodate your requests, the outcome will be based off the coordinator’s availability.
REVISITING THE VENUE:
Can we come back for another personal Tour?
You are welcome to visit, but we ask that you do not schedule another tour on our website. Instead, email us and we’ll let you know when someone will be at the venue to give you access.
CAN I ROAST MARSHMALLOWS?
While you cannot roast Marshmallows on our Fireplace, as it is enclosed for your safety. A
firepit is something you can bring in or rent, should you want to roast!
DOES THE VENUE HAVE A DISHWASHER?
No, however we have a couple rental companies that we refer our clients to for full-service China Rental. This takes the stress away from you, having to unload and load dishes.
